A free client proofing gallery: no subscription, no hosting, no account

After a shoot, the hard part is not delivering your photos: it is getting your client to choose. Online proofing galleries like Pixieset, Pic-Time or ShootProof do that job well, but they cost a monthly subscription, require uploading every photo to their servers and often a client account too. For an independent photographer with a few jobs a month, that is one more fixed cost and one more dependency.

Photo Toolbox flips the problem: the proofing gallery is a single self-contained HTML file, generated in your browser. Your photos are shrunk to thumbnails on your own machine, embedded in the file, and nothing is sent anywhere. You email the file or send it with WeTransfer, your client opens it with a double-click, ticks their favorites and exports their selection in one click: a text file with the names of the chosen photos, which you paste into the Lightroom Library filter to pull up the images to retouch.

Sending the selection back as a file is a deliberate trade-off: it is the price of having no server, and it guarantees your clients' photos stay between you and them. No forgotten public gallery, no hacked account, no data hosted by a third party. The reply-by date you set is shown prominently in the gallery, the best lever to keep your selects from sitting in an inbox for three weeks.

The full workflow: build a numbered contact sheet PDF for the overview of the whole shoot, send the proofing gallery for the final pick, then show your retouching on your portfolio with a before/after slider.

Frequently asked questions

How do I let a client pick their photos without an online gallery?

Photo Toolbox generates a self-contained HTML file with thumbnails of your selects. You send it to your client by email or WeTransfer, they open it in their browser, tick their favorite photos and export the list in one click. No hosted gallery, no account to create, no monthly subscription.

Does my client need an account or an app?

No. The file opens in any browser (Chrome, Safari, Firefox, Edge), on desktop or mobile. Your client clicks the photos they want, the counter updates, and the export button gives them a text file with the names of the chosen photos. That's it.

How do I bring my client's selection into Lightroom?

Your client sends back the .txt file exported from the gallery. It holds one file name per line. In Lightroom Classic, paste those names into the Library text filter (or use them to build a quick collection) and the selected photos show up right away, with no back-and-forth emails.

Are my photos uploaded to a server?

Never. Thumbnails are generated in your browser and embedded straight into the HTML file you download. Your photos go through no server, neither at Photo Toolbox nor anywhere else. That is the difference with Pixieset, Pic-Time or ShootProof, which host your images on their servers for a subscription.

How many photos can I put in one gallery?

Up to 30 photos on the free plan and 60 on Pro. That cap keeps the final file around 2 to 4 MB, small enough to email without compression or an external link. For a wider first pass, start with a numbered contact sheet PDF, then narrow down with the proofing gallery.

Why is a reply-by date shown to the client?

The date you enter is displayed prominently at the top of the gallery. A clear deadline is the best lever to speed up client feedback: it keeps your delivery from sitting in an inbox for three weeks and lets you plan your retouching.
